Nametrace – Contacts. Context. Network search.

1. Scope
These Terms of Use govern your use of the Nametrace website, the mobile apps (iOS, Android), and all related features and services (collectively, the "Service").
By creating an account or using the Service you accept these Terms.
If you use the Service on behalf of a company, you confirm that you are authorised to represent that company.
2. Description of Services
Nametrace is a contact and meeting management tool that helps you manage your network in a structured way and retrieve it quickly later. Features include in particular:
- storing and managing contacts,
- documenting meetings (location, date, content, follow-ups),
- capturing and structuring insights about contacts (e.g. interests, skills, offerings),
- optional web research on contacts using only publicly accessible work-related information,
- AI-assisted network search across your own insights and collected research data,
- optional synchronisation with device contacts (Apple Contacts, Google Contacts, Microsoft 365),
- vCard and JSON export of your data.
The Service is continuously developed. Individual features may be added, adjusted, or discontinued, provided the core value of the Service is preserved.
3. Account & Registration
Certain features require an account. You undertake to provide truthful information and keep your credentials confidential.
You are responsible for all activity carried out through your account.
4. Paid Features, Subscriptions & Credit Packs
4.1 Overview
Nametrace can be used in a free base version and additionally offers paid subscriptions (Starter, Pro, Business) and one-off credit packs for additional research quota.
The currently applicable price and the included features are displayed transparently before purchase (in the iOS app via Apple's StoreKit sheet, in the Android app via Google Play Billing, on the website via Stripe).
4.2 Term and Renewal (Subscriptions)
Subscriptions are offered with an annual term. They automatically renew for another year unless cancelled before the end of the current billing period.
4.3 Payment and Cancellation
Payment is handled depending on the platform:
- iOS app: billing and processing via your Apple ID / the App Store. Cancel at any time under Settings → [your name] → Media & Purchases → Subscriptions, at the latest 24 hours before the end of the current period.
- Android app: billing and processing via Google Play. Cancel under Play Store → Menu → Subscriptions.
- Website: billing and processing via Stripe. Cancel directly inside your Nametrace account under Settings → Subscription.
Unused portions of a current subscription period are generally non-refundable. Already-paid periods run to their regular end.
4.4 Credit Packs (One-off Purchase)
Credit packs are consumable in-app purchases: once credits are consumed they are spent and non-refundable. Unused credits do not expire automatically, but they may be bound to your account for their duration (i.e. they are forfeited upon account deletion).
4.5 Refunds
Refunds for purchases in the iOS or Android app are processed exclusively through Apple or Google respectively (reportaproblem.apple.com / Google Play customer service). For Stripe payments on the website, contact info@nametrace.app.
4.6 Apple Standard EULA
For use of the iOS app, Apple's Standard End User License Agreement (Standard EULA) applies in addition to these Terms. In case of conflict, the mandatory provisions of the Apple Standard EULA take precedence.
5. Contacts and Third-party Data (your responsibility)
You may store data about third parties (e.g. business contacts) in Nametrace. You confirm that you are entitled to do so and that you comply with applicable data-protection and personality rights.
You are responsible for
- storing only data you may lawfully process,
- keeping stored data accurate,
- being particularly cautious with sensitive information,
- responding promptly to access or deletion requests from your contacts.
6. Notes about contacts
Nametrace stores notes about your contacts in a structured way — as insights, in the meeting journal, or as free-form text — so you can retrieve and act on your network.
For structuring, network search, and improved findability, these notes may be analysed by our AI components. Such analysis is always performed without personal identifiers: note content is submitted to AI services without an association to the name of the person in the contact profile.
We never pass notes together with a person's name on to third parties. Any transfer to technical providers occurs only to the extent necessary to provide the Nametrace features (see Privacy Policy).
7. Web Research and AI-assisted Processing
When you run a web research on a contact, Nametrace processes only publicly accessible work-related information — content from the professional context (companies, roles, career stations, publicly accessible profile descriptions, and comparable work-related content) that is retrievable from the open web without login, paywall, or special authorisation. Information from the private sphere and sensitive personal data (e.g. concerning health, religion, ethnic origin, political views, or sexual orientation) is not processed. We do not access protected areas, closed networks, or paywalled content.
The content found is structured, translated, and summarised using third-party providers (search-engine APIs, web crawlers, AI models). Details are provided in the Privacy Policy.
Important:
- Results may be incomplete, outdated, or inaccurate.
- Nametrace does not guarantee accuracy, completeness, or timeliness.
- You are responsible for verifying information before relying on it (e.g. in business decisions).
- Nametrace is not a substitute for legal, financial, or professional advice.
8. Synchronisation with External Contacts
If you enable synchronisation with Apple Contacts, Google Contacts, or Microsoft 365, this only occurs after your explicit consent (OS-level permissions or OAuth consent).
Nametrace accepts no responsibility for conflicts, duplicates, or incorrect merges caused by device settings, third-party apps, or rate limits of the external services.
9. Availability, Maintenance and Changes
Nametrace strives for high availability but cannot guarantee it. Maintenance, updates, or outages may lead to temporary restrictions.
10. Prohibited Use
You may not abuse the Service, in particular not:
- automated scraping or mass use beyond intended functionality;
- uploading or processing unlawful content;
- violating personality, trademark, or copyright rights;
- circumventing security or access restrictions;
- distributing malware, spam, or phishing;
- attempting to extract protected or paywalled third-party content via the research feature.
In case of violation, Nametrace may suspend or terminate your account.
11. Content, Rights, and Licence
You retain all rights in your content (contacts, notes, data).
You grant Nametrace a limited, non-exclusive licence to store, process, and display your content as required to deliver the app functions to you (search, structuring, display, backup, synchronisation).
12. Intellectual Property
All rights in Nametrace (software, design, trademark, text, logos) remain with the provider. You receive a non-transferable, revocable right of use for the duration of your account.
13. Data Protection
Nametrace processes personal data in accordance with the Privacy Policy and applicable data-protection laws (Swiss revFADP, EU GDPR). The Privacy Policy is part of these Terms.
14. Account Deletion
You can delete your account at any time directly in the app under Settings → Account → Delete account, or via the web profile. All contacts, insights, meeting entries, research data, and AI embeddings linked to your account will be removed. Data subject to statutory retention (e.g. invoices) is blocked and permanently deleted after the retention period.
Nametrace may suspend or terminate accounts in cases of abuse, for legal reasons, or upon serious violations.
15. Disclaimer of Warranties
Nametrace provides the Service "as available". No warranty is given for error-freeness, availability, or the success of specific outcomes (e.g. matching results, web research results, sync results).
16. Liability
To the extent legally permissible, Nametrace is liable only for damages caused intentionally or by gross negligence. Liability for indirect damages, lost profits, data loss, or consequential damages is excluded.
You are responsible for:
- regular backups of your data (vCard and JSON export are available);
- correct use and interpretation of the results.
17. Indemnification
You indemnify Nametrace against claims by third parties arising from your use (e.g. inadmissible contact data, violations of personality rights, unlawful content), to the extent attributable to you.
18. Changes to these Terms
Nametrace may amend these Terms. Material changes will be communicated in an appropriate form (in the app, by email, or on the website). If you continue to use the Service after they take effect, the new Terms are deemed accepted.
19. Governing Law and Jurisdiction
Swiss law applies, excluding the UN Convention on Contracts for the International Sale of Goods. Place of jurisdiction — to the extent legally permissible — is the seat of the provider in Switzerland. Mandatory consumer-protection provisions of your state of residence remain unaffected.
20. Severability
Should any provision of these Terms be invalid, the effectiveness of the remaining provisions is unaffected. The invalid provision shall be replaced by a rule that comes closest to its economic intent.
